What is the size of the Canada pavilion? How many speakers and participants can the event program area accommodate?

The Canadian pavilion will be 150 square meters, with a dedicated space for events which will be approximately 80 square meters and will seat 30-40 delegates. The stage will accommodate four to five seats and one podium. Please ensure your event fits within these parameters. The remainder of the pavilion space will be used as a central networking space. Exact details and layout will be communicated to successful event leads closer to COP29.

Is there a preferred format for each event?

There is no preferred format. The Government of Canada is looking to create an engaging programme with a variety of event formats.

Would the Government of Canada consider virtual participation of any moderators or speakers?

There is a strong preference for in-person participation. Depending on technical feasibility, the Government of Canada may consider the possibility of remote participation in limited circumstances to facilitate broader participation, however this option cannot be guaranteed at this time.

Is there any funding available to support organizations’ participation in the Canada pavilion?

All individuals who have a direct role in the Canada pavilion events program, including event leads, are expected to arrange for their own travel and accommodations and are responsible for any costs of traveling to Azerbaijan, including airfare, accommodations, meals, per diems, etc. Some limited exceptions may be made to support participation of underrepresented people. Will the Government of Canada support accreditation for participants with direct roles in the Canada pavilion events program?

Yes, the Government of Canada will support accreditations for all individuals with direct roles in Canada pavilion events who are unable to obtain accreditation through other means.

Will there be simultaneous translation available?

Yes, the Government of Canada will offer simultaneous interpretation (English and French) on-site throughout the event.

Can I include food and beverage at my event?

Yes, however event leads will be responsible for any food, beverage or hospitality costs that are to be part of their event. Environment and Climate Change Canada will make arrangements on the event lead’s behalf and upon request, but an agreement will be signed before any hospitality is offered.

As an event lead do I need to be on the ground for the events I am leading on?

As long as the event lead has worked with the Events Management Team (EMT) to develop the event (plan out run of show, technology, site plan, etc.) they do not need to be on site as the EMT will handle the event delivery. The event lead only must be on the ground if they themselves have a direct role in the event (e.g. moderator, panelist). The event lead must identify an onsite point of contact for the event if they will not attend COP29.
